Contracts are easier to create when the process starts with structured data rather than manual document edits. The user fills in the fields in the platform and the information is automatically merged into the company’s own templates that are available and managed centrally in COMAsystem. This provides the option to either generate a finished PDF if the agreement needs to follow a set process, or a Word draft if there is a need to adjust the content before sending it on.
If the contract comes from the counterparty, the document is simply uploaded and the same structured information is recorded so that the contract is part of a consistent and manageable data model. The chosen workflow does not change the outcome: document and metadata are already bound together at creation.
Once the contract is ready, it can be sent directly for digital signature, and the final version is automatically archived on the appropriate contract. This ensures that data does not disappear into the document, but remains searchable, consistent and ready for use in reporting, compliance work and integrations across the organization’s systems.

In COMAsystem, all contract templates are managed centrally, so users always work on the correct version, regardless of department or location. The templates can also be organized according to the company’s own structure, so users only see the relevant templates for their role and contract type. This simplifies selection, controls variation and ensures that each contract is based on the right assumptions.
